How to Log In to PassportScan with PIN and MFA (Windows & Mobile)

How to access the application with PIN and MFA (Windows, Android, iOS)

Starting from version 20.0X (Windows) and 1.5.X (Android/iOS), logging in with only username and password is no longer supported.

You now need to set up a PIN to access the applications.

🔑 Step 1: Set up your PIN in Workspace

Once your PIN is created, the applications will no longer ask for your username and password.
Instead, you will be prompted to enter your PIN when opening the mobile app or the Windows client.

Below you can see how the login screen will look in each case:

- Mobile app (Android/iOS) – you will be asked to enter your 4-digit PIN.
Windows client – you will also use the same PIN to access.

  1. Go to https://workspace.passportscan.net.

  2. Click your profile (top right) → Profile Settings.

  3. Open the Mobile PIN Code tab.

  4. Create your PIN.

Choose or generate a random PIN, then click "Save".

👉 Once your PIN is created, you can log in to Windows, Android, and iOS apps — even if MFA is enabled.

🔒 Step 2: Enable MFA (2FA)

  1. Log in to Workspace.

  2. Inside your profile settings, click Enable MFA.

  3. Follow MFA the setup wizard.

You can follow our Youtube tutorial, or the dedicated article from our Knowledge base.

💡 We strongly recommend enabling MFA for better account security.

🖥️ Step 3: Windows client users and new devices – Activate your device

After the update, all Windows devices will be deactivated by default.

You must reactivate each computer with an Activation Code:

  1. In order to generate the activation code, login into your Workspace, go to Settings > Devices > Add new device.

  2. Enter a device name (e.g., “Front Desk PC”). (This is just an identification name)

  3. Select the mode. (FULL MODE for Windows Client) and click "Save"

  4. Get your Activation Code.

  5. Open the Windows Client and enter the code to activate your device.

⚠️ Important notes:

  • Windows Client: every computer must be reactivated with a code.

  • Android/iOS apps: will recognize already registered devices and won’t need reactivation.

✅ Quick summary

  • Set up your PIN in Workspace.

  • Enable MFA (recommended).

  • Windows users: reactivate devices with an Activation Code.
