Modification of the guest name in multi-room bookings

When there are two rooms booked under the same name, scanning the document for the second room overwrites the document previously entered for the first room or one already stored in the system (for example, for a returning guest).

Cause

In the PMS, guests are identified by an internal Guest ID.

Example:

  • The guest John Doe has Guest ID 1152.

  • If two bookings are created under the same name, the system assigns the same guest profile (1152) as the occupant of both rooms.

  • PassportScan does not work on the reservation, but updates the guest profile directly.

  • Since the profile is shared between the two rooms:

    • the first scan works correctly;

    • the second scan updates the same profile, overwriting the data of the first room as well.

Solution

Each room must have a separate guest profile.

To achieve this, simply modify the occupant name of the second room by adding an identifier that allows the PMS to generate a new profile.

Example:

  • ✅ John Doe 1 → first room

  • ✅ John Doe 2 → second room

This way:

  • the scan of John Doe's document is linked only to the first room;

  • if the actual guest of the second room is Jack Smith, their profile can be updated independently without affecting the first room.
